Parent Coordinator Responsibilities

Before Visit:

- Gather volunteer names
- Contact volunteers.
- Receive work commitments from volunteers.
- Inform volunteers of orientation meeting.

During Visit:

- Field phone calls from volunteers who need to make schedule changes.
- Advise Imagitorium staff of any volunteer changes on daily basis.
- Call parent volunteers nightly as a reminder of their next day's duties.
- Publicize Imagitorium Art Show day and times to parent community.

Time Line for Coordinator Duties

6 weeks (or more) before: Contact your School Office / Principal/ PTO

- Explain your role: You are gathering names of people interested in helping with the Imagitorium program.
- Ask for any ideas and help that they may provide. The office may distribute newsletters and flyers and receive parent lists from teachers.
- Begin to call volunteers.
- Contact Linda Tennant or Chere McKinney (volunteer liaisons) at Creative Arts Dept. 472-0026 to set up volunteer orientation meeting and discuss volunteer response.

4 weeks before:

- Continue to contact volunteers.
- Send additional flyers home through the school newsletter.
- Begin to fill the Imagitorium Volunteer Sign-Up Form with volunteer time committments.

3 weeks before:

- Complete Volunteer Sign-Up Form; 3 people per shift is ideal.
- Continue to send flyers home through school newsletter.
- Recontact Linda or Chere at Creative Arts Dept. with report.

2 weeks before:

- Fill out individual "Reminder"forms for each volunteer and distribute them.
- Continue to call volunteers as needed.
- Confirm volunteer meeting with school.
- Send out Announcements for Imagitorium Volunteer Meeting.

1 week before:

- Conduct Imagitorium Volunteer meeting with volunteer liaisons from Creative Arts Dept.

Day of Imagitorium Arrival:

- Meet with Imagitorium art teachers.
- Deliver Volunteer Sign-Up Form to Imagitorium art teachers.

Opportunities for Gathering More Volunteers

- Open House in fall: Give each teacher a number of flyers to hand out to interested parents.
- Send a little message home in the school newsletter.
- Present the program to the PTO. You have flyers. Creative Arts Dept. has a video that you may check out.

Parent Volunteer Expectations

If your school day begins at 7:55, volunteer arrival times are as follows:

AM shift - 8:10 AM
PM shift - 11:40 AM

If your school day begins at 8:25, volunteer arrival times are as follows:

AM shift - 8:40 AM
PM shift - 12:10 AM

We appreciate your participation in the Imagitorium program. Volunteers like you make the Imagitorium visit a personalized, quality experienmce for each Mesa primary student. You will be working with two Mesa School art teachers. We are all here to help make the childrens' experience a positive one.

Please be on time and plan to stay for the entire session.

It is not appropriate to bring children with you.

Bring a water bottle so you have something to drink.

Dress comfortably and appropriately (you may be working on the floor, sitting at low tables, leaning over to assist students, etc.)

Call your parent coordinator as soon as possible if you are unable to work at your assigned time.

Be flexible - you may be asked to teach at a center, help with art activities, run errands or prepare art materials.

Cell phones and pagers must be turned off.

For Security Reasons you must check in at the office to sign in and receive your Imagitorium name tag before coming to the van.
